This Privacy Policy explains how Bithatch Systems (“Bithatch,” “we,” “us,” or “our”) collects, uses, discloses, and protects information in connection with our software applications, including Homeplate, and our website at bithatch.ca (collectively, the “Services”). It also describes how we handle data accessed through our QuickBooks Online integration.

1. Information we collect

We collect the following categories of information:

  • Account information — such as name, email address, organization, and role, provided when an account is created or you are invited to the Services.
  • Content you submit — the financial records, expenses, invoices, sponsorships, and related data you and your authorized users enter into the Services.
  • Usage and device information — log data such as IP address, browser type, pages accessed, and timestamps, used to operate and secure the Services.
  • QuickBooks Online data — accounting data accessed through the Intuit API when you connect a QuickBooks Online account, as described below.

2. QuickBooks Online data

Our Services integrate with QuickBooks Online, provided by Intuit Inc. (“Intuit”), through the official Intuit API. When you authorize the connection, we access only the accounting data needed to provide the Services’ features — for example, customers and vendors, accounts and categories, invoices, bills, and transaction records required to keep your books in sync.

We use QuickBooks Online data solely to provide and support the Services for you. We do not use this data for advertising, and we do not sell it or share it with third parties for their own marketing. Our access is limited to the scopes the subscribing organization grants, and the organization can revoke that access at any time (see Disconnecting and deleting data).

3. How we use information

We use the information we collect to:

  • provide, operate, maintain, and improve the Services;
  • synchronize approved transactions with QuickBooks Online;
  • authenticate users and manage invitation-only, role-based access;
  • send service-related notifications and respond to support requests;
  • monitor, secure, and troubleshoot the Services and prevent abuse; and
  • comply with legal obligations.

4. How we share information

We share information only in these limited circumstances:

  • With Intuit, to operate the QuickBooks Online integration authorized by the subscribing organization;
  • With service providers (such as hosting and infrastructure providers) who process data on our behalf under confidentiality obligations;
  • For legal reasons, where required by law or to protect rights, safety, and security; and
  • In a business transfer, such as a merger or acquisition, subject to this policy.

5. No sale or third-party marketing

We do not sell your personal information or your organization’s data. We do not use QuickBooks Online data, account information, or content you submit for third-party advertising or marketing, and we do not add your users to external marketing lists.

6. Storage, retention, and security

We retain personal information and Customer Data for as long as your account is active or as needed to provide the Services, and thereafter only as required for legitimate business or legal purposes. Data is stored on infrastructure located in Canada.

We use administrative, technical, and organizational safeguards designed to protect information, including encryption in transit, access controls, and audit logging. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

7. Disconnecting and deleting data

The QuickBooks Online connection is established and managed by the subscribing organization through its authorized administrator; individual users do not control this connection. The subscribing organization can disconnect the integration at any time from its Bithatch account settings, or from its Intuit account under connected apps. Disconnecting stops further data exchange between the Services and QuickBooks Online.

You may request deletion of your account and associated personal information by contacting us at info@bithatch.ca. We will delete or de-identify the data within 30 days, subject to any data we are required to retain for legal, accounting, or security purposes.

8. Your privacy rights

Depending on your jurisdiction, you may have rights to access, correct, delete, or restrict the processing of your personal information, and to withdraw consent. To exercise these rights, contact us using the details below. We will respond in accordance with applicable law, including the Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia’s Personal Information Protection Act (PIPA).

9. Cookies and tracking

We use only the cookies and similar technologies necessary to authenticate users, maintain sessions, and keep the Services secure. We do not use advertising or cross-site tracking cookies.

10. Children’s privacy

The Services are intended for use by organizations and their authorized adult users. They are not directed to children, and we do not knowingly collect personal information from children.

11. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of the Services after changes take effect constitutes acceptance of the updated policy.
